CAHC Rules & Policies

Registration is open for 2023/2024.

To be eligible for Club trophies and awards, runners must be:
  • Financial active (full) members of the club prior to the commencement of the race.
  • Compete in Club Uniform at the particular events.
  • Must have either competed or present in an official role at two (2) Club Saturday events before being eligible to win the Club Cross Country Championship and a total of four (4) Club Saturday events before the Club Road Championship.


Club Constitution:
CAMBRIDGE ATHLETIC AND HARRIER CLUB

Club Rules:
1. The name of the Club shall be the Cambridge Athletic & Harrier Club.
2. The objects of the Club shall be the encouragement and practice at all levels of Track and Field Athletics, Harrier Running and Walking.
3. The Club shall be affiliated to ANZ (Athletics New Zealand)
4. The Club uniform shall be :Singlet – Royal Blue top half with “Cambridge” screen printed in white across the front. Lower half red.
Black shorts.                                             

5.    Members shall consist of:
a)    Active:
Senior Section           
Men and Women of all categories consistent with ANZ divisions above secondary age.
Junior Section           
Boys and Girls from tiny tots up to and including secondary school age.
The qualifying age for each age group shall be as determined by ANZ registration and Club Subscription.
All athletes who are full financial members with other Athletic and/or Harrier Club(s) are not eligible to be Active members of the Club (and/or registered with Athletics New Zealand).
Pre-schoolers       
Boys and Girls 3 years and 4 years of age

b)    Associate-                   
Persons who are not full Active Members, yet wish to become associated with Club’s activities.
      Club subscription
This includes all athletes who are full financial members with other Athletic and/or Harrier Club(s) (and/or registered with Athletics New Zealand).

c)    Honorary         
Persons who may be elected in recognition of their present or past services to the Club.
No club Subscription.


d)    Life Member
No club subscription.

6.        Life and Honorary Members may be elected each year at the Annual General Meeting or at a Special General Meeting of the Club.
7.        All active members shall abide by the competition rules as defined by ANZ.
8.        The Club’s financial year shall begin on the First (1) Day of April and end on the Thirty-first (31) day of March following.
9.        The Annual Subscription, which shall be set at the Annual General Meeting, shall fall due on
            the first day of the Club’s relative activities. In case of new Members, subscriptions and registration MUST be paid before the competitor is eligible to compete.
10.      The Committee reserves the right to expel any Member, whom in the opinion of the Committee, misconducts Him or Her self to such an extent as to warrant an expulsion. Such members have the right to appeal to another Committee Meeting and to the Centre. Any Member one year in arrears with subscription shall automatically be struck off the Members Roll. Resignation of any Member to be in writing addressed to the Secretary.  The Committee shall have the power to accept any resignation so received.
11.      The Officers shall be elected at the Annual General Meeting, but vacancies may be filled by the Committees at any Management Meeting thereof.
12.      Officers of the Club shall be:
                        Patron, President, Vice- President, Secretary, Treasurer.

13.      The Management Committee of the Club shall consist of:
President, Vice President, Secretary, Treasurer, Two (2) Delegates from each of the Sub-committees.
a.      Each Sub-committee, Harriers, Track and Field, Children’s Track and Field, shall consist of no less than six (6) people, to be elected at the Annual General Meeting. One shall be Chairperson, one shall be Secretary and any two (2) of the elected committee shall be eligible to attend the Management Committee.
b.    Any committee member who is absent from three (3) consecutive committee meetings without leave of absence, automatically forfeits their seat. The Committees shall have the power to fill such casual vacancies.
c.      The Harrier, Track and Field, and Children’s Track and Field Sub-committees shall be responsible for organizing their respective sections competition and support activities: club nights, club days, club competition, interclub competition.
d.    Delegates to the Waikato Centre Sub-committees shall be elected at the Annual General Meeting, and form part of the Club’s Sub-committees as of right.

14.      A Reviewer shall be elected at the Annual General Meeting.
15.      Those eligible to vote at any Annual or Special General Meeting are:
a.      Senior Section Financial Members.
b.    One parent per family of Junior Section Financial Members.
c.      Honorary and Life Members.

16.      The Management Committee may further appoint and empower sub-committees for such purpose as it may deem necessary.

17.      The Annual General Meeting of the Club shall be within a period of shall be within a period of Ninety One (91) Days after the end of the Club’s financial year, and at that Meeting the Secretary shall present the Minutes of the previous Annual General Meeting, and the Treasurer shall present a Reviewed Statement of:
1)    Receipts and Payments for the year.
2)    Statement of Financial Performance.
3)    Statement of Financial Position.

18.      A report covering the previous year’s Club operations and activities shall be tabled at the Annual General Meeting by the President of the Management Committee and Chairpersons of the Track and Field, Harriers and Children’s Track and Field Committees.
19.      Special General Meetings of the Club may be convened by the President and Secretary at any time or by the Committees, and shall be convened by the Secretary on presentation to him/her of a requisition, signed by not less than ten (10) Financial Members of the Club, stating the objects for which the Meeting is convened. The business discussed must be carried by three fourths majority. No other business than that specified shall be dealt with.

20.      The Secretary shall give not less than seven (7) day’s notice of the Annual or Special General Meeting by means of an insertion in public newspaper or by written notification to all financial members, stating the time, place, date and purpose of the Meeting.

21.      a) The Quorum for every Management Meeting shall be five (5), three (3) of whom must be:                  President, Vice President, Secretary, Treasurer.     
            b) The Quorum for every Sub-committee shall be a minimum of five.

22.      All money donated to, or becoming the property of the Club for any particular purpose, shall be expended only for that purpose.

23.      All monies must be banked and all payments made by cheque. Three (3) signatories to be appointed by the Management Committee. Any two (2) signatures to appear on cheques.

24.      In the event of the Club terminating its activities and involvements, all assets on hand after payment of all dues, shall be handed to the Waikato Centre of Athletics New Zealand.

25.      a) At all meetings of the Management Committee, the Chair shall be taken by the President, or in his /her absence by the Vice President. The Chairperson shall have a deliberative as well as a casting vote.
            b) At all meetings of Sub-committees the Chair shall be taken by the Chairperson of that committee, or in his/her absence by a chosen member of that sub-committee. Should it be necessary, the Chairperson shall hold a casting vote.

26.      All matters not otherwise specially provided for in these Rules shall be decided by the Management Committee whose decision is final.

27.      These rules may be altered only by a three fourths majority, at the Annual General Meeting of the Club or at a Special General Meeting convened for that purpose.
