Here’s how to get the most from Sporty while also meeting the requirement from NZ Rugby for people to register into the national database using Xplorer (RX).

Member registrations and renewals

All rugby clubs in New Zealand can use the full member management system and membership registration/renewal forms from Sporty. Rugby participants must also register directly with Xplorer (RX). The following steps are recommended for rugby clubs:

1. Login to Sporty and go to the Online Registrations tile from your Dashboard. A club membership registration form for 2025 will automatically be waiting for you.
2. Check your membership registration form so that it shows the question fields you want. Remember there’s no limit to the number of question fields you can have on forms from Sporty.  Follow these instructions to Edit a Form.
3. If you want to let your club members pay online, follow these instructions to add 'products' and pricing to your form.
4. Make it clear to members that NZ Rugby requires people to register via Xplorer directly to the national database. For example, add text to your form such as: 
   
   Please note that from 2025 onwards NZ Rugby requires people to register directly into the national rugby database via Xplorer.  If you haven’t already done this for 2025, you can do so here: https://myaccount.rugbyxplorer.com.au. 
   
   Note that you could also add this text to the confirmation email that is automatically sent from Sporty when people register or renew their membership with your club. This setting is managed in the Confirmation Email Content area of the Advanced Options for your form.

Once you're happy with your club membership form, let people use it:

• Follow these instructions to put a link to the blank version of your online form from your website and post it to Facebook or promote it via e-Newsletter or email.
• Use Sporty to automatically send a 'Magic Link' to everyone who registered last season. This lets them see their own details prefilled in your club membership form for the new season so they can easily update them without a login.
• Manually roll club members forward from last season to your form/database for the new season if you wish.

Watch your online database grow as members register/renew through your form.

You can then use other functionality from Sporty such as:

• Send your database of people a professionally formatted e-Newsletter.
• Use the TeamBuilder utility to drag & drop players into Teams. Note that you must now use Xplorer to enter Teams into competitions.
• Manage your people through SuperCRM member management system.
• Export your database to Excel if you wish.

IMPORTANT: If your club has compared the fuller functionality of the member management system from Sporty (video here www.youtube.com/watch?v=EW6cXE7az5Y) and the Sporty website builder (video here www.youtube.com/watch?v=uPemlbFyPPw) but decided you no longer wish to use Sporty, you can give notice to terminate any paid services from Sporty in accordance with the Notice Period in your contract (if any). You can also request that your club data in Sporty is permanently deleted - please use this form (please note there is no ‘undo’ if you change your mind later).
