MEMBER RULES AND GUIDELINES
All notes and information contained in this section of the website are considered to constitute the Membership Rules and Guidelines for the Pāuatahanui Equestrian Club (PEC) and are approved by the PEC Committee and reviewed as at 29th July 2025. These rules are accepted by each member upon signing a PEC Club Membership Form and Club membership acceptance by the PEC. The PEC committee reserves the right to amend the rules without member consultation.
It is the member’s responsibility to ensure they are familiar with the rules at all times.
- All members, whether holding full or limited membership, may not book the arena for more than three consecutive weeks at the same timeslot and on the same day. Any bookings made for a fourth and more, with the same consecutive time and day will be removed by the administration.
- Under Casual and Limited Membership it is the members’ responsibility to monitor usage – we will audit arena bookings and any members found to be in excess of their permitted uses will be deemed to have upgraded to full membership and will be invoiced accordingly.
- Casual and Limited Members are welcome to upgrade their membership to Full Membership at any time by paying the additional sum and notifying the secretary at pauatahanuiequestrianclub@gmail.com
- Please allow up to three (3) working days to process your membership.
- Parental consent is required for any PEC members under the age of 17 years.
- Usually, the fee remains the same regardless of what month in a period that a person joins, but if you join towards the end of the membership period, purchase a Limited Membership for that short period, or contact the Club to discuss a reasonable solution.
- Memberships are not considered valid until Club Membership payment has been received and cleared in the bank account and the Membership Form has been correctly submitted and received by the PEC Secretary.
- Membership fees are non-refundable and non-transferable.
- PEC reserves the right to change fees without notice.
GROUND RULES FOR ARENA USE:
- The arena is a community resource and we ask members to be courteous of others when booking and using the arena. Any members found to be using the arena in an unreasonable or discourteous manner may have their membership affected. Examples of unacceptable arena use include booking the arena for long periods of time during peak times, making longer bookings than required, not cancelling a booking that is not utilised. Please contact pauatahanuiequestrianclub@gmail.com if you have any questions about appropriate use.
- To use the arena, members must book in advance, using their own calendar login (which is provided at time of joining). Please include your full name in the booking description.
- Members must not book the arena for other riders. Each rider must make their own booking under their own calendar login.
- Arena bookings and use will be monitored and any bookings that do not comply with this rule may be cancelled without notice. Any riders found on the arena without booking the arena appropriately, will be asked to leave immediately, and their future membership may be affected.
- Gates must be kept closed at all times for rider and horse safety.
- Helmets must be worn at all times when mounted and a back protector is strongly recommended when jumping
- You must take all manure, hay and rubbish home with you when you leave.
- Please ensure all horses tied to hitching rail are tied using twine. Horses must not be tied to any of the boundary fences.
- There is no water available onsite.
- Poles must not be left on the ground unless used as ground poles for a jump
- If you cause any damage to any PEC equipment, including fences, poles and jump stands, you must report this damage to the PEC Secretary immediately and you are liable for the cost of replacing or repairing that equipment.
- Children aged 16 years and under must be supervised by a parent or guardian at all times.
- Dogs are not permitted on the premises at ALL times.
- PEC accepts no liability for any loss or damage to any persons, vehicles, animals or their property whilst on the PEC arena, grounds or at Motukaraka Point.
ARENA ACCESS AND PARKING:
- Parking is now available onsite at the main arena entrance at 333 Grays Road via the signposted wooden gates.
- The PEC grounds are clearly fenced and signposted. Access to the adjoining property, carpark or driveway at 335 or 337 Grays Road is strictly prohibited and members are NOT permitted to use the access, carpark arena, hoses or yards at the neighbouring properties under any circumstances.
BREACH OF RULES:
- In all instances of breaching the rules, it will be the decision of the PEC Committee as to whether a person will be held responsible for the breach. If there is a dispute as to the person responsible for the breach, more than one person may be held responsible.
- In the first instance of a rule breach, a member of the PEC Committee will contact the individual directly—typically via email—to outline the matter. This communication will serve as a written warning.
- In the second instance of a rule breach, the PEC Committee will again contact the member directly—typically in writing via email—to advise them of the breach. The communication will also outline that their right to use the arena, may be suspended for a period determined by the PEC Executive. The member will have the opportunity to respond to this notice. If a suspension is imposed, the member may reapply once the period has ended; however, acceptance of any future membership remains at the full discretion of the PEC Committee.
- In the event of a serious issue (such as damages to facilities, health and safety complaints or any breach that brings the relationship of PEC with the landowner into disrepute), membership may be terminated immediately at the discretion of the PEC Committee.
